Frequently Asked Questions
Simply CC your personal HelperBat agent email (e.g., alfred@helperbat.com) on any email thread where you're discussing scheduling. Your agent will analyze the conversation, check your calendar availability, and propose times that work for everyone.
Your agent's email address is shown on your dashboard home page and in the Agent Settings. It follows the format: yourAgentName@helperbat.com (the exact domain depends on your setup).
HelperBat connects to your Google Calendar to check your availability and create events. When you first sign up, you'll be asked to authorize access to your calendar. Your agent can see when you're busy and will only propose times when you're available.
Yes! Once a time is confirmed in an email thread, your agent will automatically create a calendar event with all the relevant details, including a Google Meet video link for virtual meetings.
Your agent only responds to emails from your registered email addresses. You can add multiple email addresses in your Agent Settings to use with different accounts.
Absolutely! In Scheduling Settings, you can set default meeting durations for virtual and in-person meetings, buffer time between meetings, and your preferred timezone.
Your personal booking page allows anyone to view your availability and book time with you directly. Share your link (helperbat.com/yourusername) with contacts for easy scheduling.
For meetings with multiple participants, you can create a poll that lets everyone vote on their preferred times. Your agent will help coordinate and automatically book the best time once voting closes.
Scouts are research assistants that watch the web for you on a schedule. Give a scout a mission — like tracking new grant opportunities, research papers on a topic, industry news, or competitor announcements — and it searches the web plus specialized sources (research databases, government and grants databases, news, and custom RSS feeds, including Canadian sources) and emails you a digest of new findings from your agent's email address.
Go to Dashboard > Scouts and click New Scout. Give it a name, describe its mission, and optionally add keywords, pick specialized sources, add custom RSS feeds, attach reference documents (PDF, TXT, or MD) to help it judge relevance, and set a schedule (daily, every few days, weekly, or monthly). You can also ask your agent by email to create or manage scouts for you. Each account can have up to 10 scouts.
No. Scouts remember everything they've already sent you and filter out duplicates, so each digest only contains new findings. If a run turns up nothing new, the scout skips the email by default — or you can set it to send a short 'nothing new' note instead.
From Dashboard > Scouts you can pause or resume a scout, trigger a run immediately with 'Run now', view its run history and past findings, edit its settings, or delete it. You can also manage scouts by simply emailing your agent — for example, 'pause my grants scout' or 'run my research scout now'. If your trial or subscription lapses, scouts pause automatically and resume once your access is restored.
Go to Dashboard > Billing and click 'Manage Subscription'. This will take you to the Stripe billing portal where you can cancel, update payment methods, or change your plan.
